  • secure upload pages used to collect client or claimant documents;

  • client intake, authorization review, claim-support, reconciliation, and account-management activity;
  • vendor, business, legal, procurement, or due-diligence communications.

This Notice does not replace any signed engagement agreement, authorization document, confidentiality agreement, data handling agreement, or other written agreement between LOAD ROUTER, LLC and a claimant, client, business, or authorized representative.

5. Sensitive Information and Claim Documents

Some claim-support matters may require sensitive documents, such as identification documents, employee IDs, FEIN/EIN or tax-verification documents, Social Security number materials, probate records, proof-of-address records, or other agency-requested supporting documents. LOAD ROUTER, LLC limits the collection, use, and access to such information to authorized claim-support, verification, documentation, security, recordkeeping, and compliance purposes.

LOAD ROUTER, LLC separates ordinary operational records from sensitive claim-support documents. Operational systems are intended to maintain limited business and workflow records, such as contact information, authorization status, claim-support status, activity records, and related administrative details. Sensitive identity, tax-verification, probate, and government-ID supporting documents are handled as controlled documents in approved secure business storage rather than stored as ordinary database field values.

Sensitive supporting documents are not requested through ordinary email where a secure upload option is available. Secure upload links may be time-limited, password or PIN protected, and restricted to upload-only access. Accepted documents may be stored in approved controlled document repositories that use access controls, permission restrictions, audit/activity records, and encryption capabilities provided by the applicable business systems.

6. How We Share Information

LOAD ROUTER, LLC does not sell claimant or client records. We do not publish sensitive claim-support documents. We may disclose information only as reasonably necessary for authorized business, claim-support, verification, security, compliance, or legal purposes.

Information may be shared with:

  • state agencies or unclaimed-property administrators when needed for authorized claim submission, verification, follow-up, or resolution;
  • claimants, clients, authorized signers, or authorized representatives involved in the relevant matter;
  • service providers that support hosting, email, secure upload, document storage, malware scanning, authentication, audit logging, business operations, or communication tools;
  • legal, compliance, accounting, insurance, or security professionals when needed for review, defense, incident response, compliance, dispute support, or business operations;

8. Retention and Deletion

Claim-related records may be retained for a minimum required period and may be retained longer where needed for audit, dispute-support, compliance, tax, insurance, or operational reasons.
