3. How We Collect Information
We may collect information directly from you, from your authorized representative, from business contacts, from documents you upload or provide, from communications with us, from public or official records, from state-administered unclaimed-property information where permitted, and from service providers that support our website, email, secure upload, document storage, security, and business operations.
4. How We Use Information
LOAD ROUTER, LLC uses information for legitimate business, service, verification, security, compliance, and recordkeeping purposes, including to:
- respond to inquiries and communicate with claimants, businesses, and authorized contacts;
- confirm identity, authority, business status, or representative capacity;
- prepare, support, submit, or follow up on authorized unclaimed-property recovery matters;
- collect and organize documents needed for claim-support and agency verification;
- prepare reconciliation reports, status summaries, and engagement records;
- operate secure upload pages and internal workflow systems;
- protect against unauthorized access, misuse, fraud, phishing, malware, and other security risks;
- maintain audit trails, activity records, and legal or compliance records;
- respond to legal, regulatory, agency, security, insurance, or dispute-related matters;
- improve website, communication, security, and operational processes.
5. Sensitive Information and Claim Documents
Some claim-support matters may require sensitive documents, such as identification documents, employee IDs, FEIN/EIN or tax-verification documents, Social Security number materials, probate records, proof-of-address records, or other agency-requested supporting documents. LOAD ROUTER, LLC limits the collection, use, and access to such information to authorized claim-support, verification, documentation, security, recordkeeping, and compliance purposes.
LOAD ROUTER, LLC separates ordinary operational records from sensitive claim-support documents. Operational systems are intended to maintain limited business and workflow records, such as contact information, authorization status, claim-support status, activity records, and related administrative details. Sensitive identity, tax-verification, probate, and government-ID supporting documents are handled as controlled documents in approved secure business storage rather than stored as ordinary database field values.
Sensitive supporting documents are not requested through ordinary email where a secure upload option is available. Secure upload links may be time-limited, password or PIN protected, and restricted to upload-only access. Accepted documents may be stored in approved controlled document repositories that use access controls, permission restrictions, audit/activity records, and encryption capabilities provided by the applicable business systems.
7. Security and Document Controls
LOAD ROUTER, LLC uses administrative, technical, and operational controls intended to protect information against unauthorized access, disclosure, alteration, or misuse. These controls may include role-based access, controlled document repositories, secure upload workflows, password or PIN protection, audit logs, malware scanning, system backups, limited internal access, and documented document-handling procedures.
No website, email system, upload system, cloud service, or electronic storage method can be guaranteed to be completely secure. If we identify a security incident involving information we maintain, we will review the matter and take appropriate containment, investigation, documentation, escalation, and notification steps based on the circumstances and applicable requirements.
8. Retention and Deletion
LOAD ROUTER, LLC retains information for as long as reasonably necessary for authorized claim-support activity, client communication, legal or compliance obligations, auditability, dispute support, operational continuity, recordkeeping, and business administration.
Claim-related records may be retained for a minimum required period and may be retained longer where needed for audit, dispute-support, compliance, tax, insurance, or operational reasons. Deletion requests may be reviewed and honored where appropriate, but some records may need to be retained when required or permitted by law, contract, agency requirements, security needs, legal holds, or business recordkeeping obligations.
10. Your Choices and Requests
You may contact us to request that we update, correct, review, or delete certain information associated with you or your organization. We will review requests based on the nature of the information, the purpose for which it is maintained, applicable requirements, identity or authority verification, and any legal, security, recordkeeping, or agency-related limitations.
If you are acting for a company, estate, claimant, or other person, we may request information sufficient to confirm your authority before disclosing or changing records.
11. Third-Party Sites and Services
Our website, communications, or documents may refer to third-party websites, state agency websites, cloud services, payment or document tools, email systems, or external records. Third-party services are governed by their own privacy notices, security practices, and terms. LOAD ROUTER, LLC is not responsible for the privacy or security practices of third-party websites or services that we do not control.
12. Children's Privacy
Our services are intended for adults, businesses, estates, authorized representatives, and organizational contacts. We do not knowingly collect information from children for marketing or general website purposes. If we learn that information from a child has been provided outside a legitimate claim-support, estate, legal, or authorized representative context, we will review and address the matter appropriately.
